Setting Reminders in Outlook
Are you very forgetful? If so, you may want Outlook to remind you of your appointments. A reminder will sound an alarm and display a dialog box prior to the appointment. You can specify how many minutes before an appointment the reminder appears and you can also specify the sound that plays.
1. Open your Outlook Calendar.
2. Click the Actions button on the toolbar and then New Appointment.
3. Check the Reminder checkbox, click the downward pointing arrow and select the amount of minutes from the list. By default, you will be reminded fifteen minutes before that pending appointment.
4. Fill out all other relevant information for the appointment.
5. Click the Save and Close button on the toolbar.
Depending on your setup, Outlook may automatically add a reminder to all of your new appointments. You can change this default setting by selecting Tools, Options from the menu, clicking the Preferences tab, and changing the Default Reminder settings in the Calendar section.

Recording a Macro
If you are frequently doing the same routine tasks, you may be able to accomplish this much faster by creating a macro. A macro is a series of commands that are grouped together and executed as a single command.
Step 1: Select Tools from the menu
Step 2: Click on Macro from the drop-down menu that appears
Step 3: Select Record New Macro
Step 4: In the Macro name box type in a description for your Macro
Step 5: Click on OK
Step 6: The Macro pointer now indicates that everything that you do and type will be recorded
Step 7: Now carefully perform the actions that you want to include in your Macro
Step 8: Click the Stop button on your Macro toolbar
Step 9: Your Macro has now been created

Running a Macro
Once you have created a macro, you can play it or make it easy to access by assigning it a keystroke shortcut.
Step 1: Select Tools from the menu
Step 2: Click on Macro from the drop-down menu that appears
Step 3: Select Macro from the menu
Step 4: Select the macro that you want and click on Run

Step 1: Select Tools from the menu
Step 2: Select Customize from the drop-down menu
Step 3: Click on the Keyboard button
Step 4: Select Macros form the categories list and select the macro you want to assign a shortcut
Step 5: Place the insertion point in the Press new shortcut key box and press the shortcut keystroke you want to assign to the macro (Example: Ctrl + D)
Step 6: Click Assign and then Close
Step 7: Click on the Ctrl button and the letter D to run the Macro.
